Sanctoria, July 6: Eastern Coalfields Limited has formally implemented its Record Retention Policy, duly approved by the National Archives of India , marking a significant milestone in strengthening institutional records management and ensuring adherence to statutory and regulatory requirements.

The Policy has been formulated in accordance with the provisions of the Public Records Act, 1993 and the Central Secretariat Manual of Office Procedure . These provisions mandate every Records Creating Agency to prepare a Record Retention Schedule relating to its substantive functions and obtain the approval of the National Archives of India prior to its implementation.
The approved Record Retention Policy establishes a structured framework for the systematic retention, preservation, review, and disposal of official records across the Company. Its implementation is expected to enhance administrative efficiency, promote transparency and accountability, ensure statutory compliance, and strengthen institutional governance through effective records management practices.
Guided by the vision of Shri Satish Jha, CMD, ECL, and under the leadership of Shri Gunjan Kumar Sinha, Director , ECL, the policy establishes a structured framework for the retention, preservation, and timely disposal of official records in accordance with statutory requirements and organizational best practices. Successful formalizing this policy was a herculean task, meticulously executed by the Administration Department headed by Shri Abir Mukhopadhyay, reflecting the team’s dedication, coordination, and commitment to strengthening ECL’s administrative systems. This initiative marks another significant step in ECL’s journey towards enhanced administrative efficiency, transparency, and digital-ready governance.
The adoption of the Policy underscores ECL’s commitment to modernizing administrative processes, preserving records of enduring value, and fostering a robust governance framework aligned with national standards and best practices in public records management.
